Background & Requirements
Field agents called upon householders to invite them to sign up for new supply contracts on a range of products - Electricity, Gas and Telephone. Industry regulation required that such potential contracts be agreed and ratified within 14 calendar days, however the communication of contracts back to Utility Head Office could take up to 6 days, leaving little time for administration and verification.

Challenge
  • Driving requirement to reduce administration time and increase time available for Fizz Head Office teams to do necessary administration and verify contracts
  • Newly signed contracts were delivered to Area Sales Manager Day One / Two
  • These were assessed and faxed to Agent's Head Office Day Two / Three
  • Final assessment prior to forwarding to Fizz Head Office Day Three / Four
  • Receipt of actual contracts by Fizz Head Office and assessment Day Four/Five and if weekend intervening, Day Five/Six
On receipt of contracts by Field Sales Managers, documents faxed through to DES and originals posted to Fizz Client Head Office
OCR software encoded data directly into database. After automatic error-checking, report sent electronically to Fizz Head Office who could forward to Powergen electronically
Improved time in paper handling queue by up to four days
Data-entry already complete for Fizz Head Office and linked to payroll so reduced required manpower.
Daily SMS Text message sent to Fizz Field Managers with statistics on calls made, contracts signed by combination of services (Electricity only, Electricity plus Gas etc
